CHEVINGTON WOODS CIVIC ASSOCIATION
MINUTES OF TRUSTEES MEETING
November 21, 2005

Meeting site: Violet Twp Offices, 12970 Rustic Drive, Pickerington, OH 43147

President Comanita called the meeting to order at 7:02 p.m.

The President ascertained the presence of a quorum with seven (7) trustees in attendance:

Reading of the minutes: The Chair noted the minutes of the September 19, 2005 regular meeting had been previously distributed via email to the trustees and advised, that if there were no objections, the minutes could be approved as distributed. Thereafter, Trustee Hartley moved the minutes be approved as previously distributed. The motion was duly seconded and passed without dissent.

Correspondence and Resident Participation:

There was no correspondence received. No resident chose to speak.

Treasurer’s Report: Treasurer Briggs presented the Treasurer’s report and entertained questions from the Trustees and residents assembled. A written copy of the report is made a part of these minutes by reference.

Deed Restriction Committee – James Vohwinkel - Secretary Snell reported on the Vohwinkel application for a zoning variance at 8890 Winston Road. Following discussion Secretary Snell made a motion that the CWCA go on record with the Zoning Board of Appeals by letter from the CWCA in opposition to the application. The motion was duly seconded and passed without dissent. (Letter sent to Kelly Sarko on 12/03/05)

Lot Setbacks – Secretary Snell reported that, as instructed by the CWCA Trustees, he had been in email contact with Violet Township Zoning Inspector Kelly Sarko in regard to set back violations in some areas of Chevington Woods. Her response in regard to the issue was as follows:

“The variance application fee is $350.00. It involves a public hearing before the Board of Zoning Appeals, notice of a public hearing being published in a newspaper of general circulation within the Township and written notification of public hearing being sent to all adjoining property owners. I can't tell what the likelihood that a purchaser may encounter a problem at closing. It too is my experience that homes with encroachments (large and small) have been transferred several times with no problems. Some new homebuilders have even obtained variances for extremely minor encroachments (2-3 inches). I guess whether a property successfully transfers depends on not only the buyer but the title company and the mortgage company. “

It was noted that CWCA had no intent to pursue setback violations that have existed for over 30 years in Chevington Woods particularly since the developer, not the resident, was responsible for site construction of the residence on each lot.

During the discussion Mrs. Newell and Mrs. Tom requested permission from the Chair to address the meeting. The Chair granted the request.

North Reserve Playground Committee – Chairman Roeder - Vice President Roeder reported the Committee was still working on the matter and would have a report before long.

Yard of the Month Committee – Chairman Squier – Trustee Squier requested that it be noted in the next CWCA Newsletter that judging for the Seasonal Decorations Awards would be held beginning December 15th. She also noted that she would be preparing a newsletter item requesting input from the residents in regard to entrance flowers for the growing season beginning in the spring of 2006.

Unfinished Business:

Chevington Woods Recreation Club insurance payment - Treasurer Briggs noted that he had searched the records he had and could not find sufficient records to resolve the question. Secretary Snell noted that he had also searched the records he had in his possession and only partial information was available. It was agreed

that Secretary Snell would email Treasurer Fisher of the CWRC and open a dialogue between the two treasurers in an attempt to resolve the question.

Streetlight Committee - Chairman Snell reported on his attempts to get the streetlight burning at the corner of Stoneyway Court and Stonehenge Circle. It was suggested he investigate the possibility of moving the streetlight across the street since the current resident has not furnished electrical power to the light in several months. He also noted that he had completed the installation of new fluorescent lights at the north entrance and noted that all comments received since had been positive.

President Comanita went on record to thank the Trustees and residents present for the great turnout and successful neighborhood participation in Beggar’s Night at Halloween. She noted that based upon consumption of cider and doughnuts in past years, this year was a rousing success because the entire stock was depleted at the end of the evening.

New Business:

Santa Visit - Trustee Ross noted that the traditional Chevington Woods Santa visit will continue and that the CWCA Newsletter will contain an item announcing the cut off date for reservations and the telephone number of Bev Tumblison who has graciously volunteered her time to coordinate the event for many years.

2006 Annual Meeting – President Comanita observed that it would be nice to have the CWCA Annual Meeting at a location where refreshments could be served to the residents in attendance. Secretary Snell noted the Violet Baptist Church had a large gym with an adjoining kitchen and volunteered to contact the church about reserving the gym and kitchen for the 2006 annual meeting.

The Chair then called for any other business to come before the Trustees assembled. Hearing none, the Chair recognized a motion from Trustee Hartley to adjourn. The motion was duly seconded and passed without dissent. Meeting adjourned at 9:55 p.m.

Actions Between Meetings


Subject: Adoption of the N. Reserve Playground Committee Report

At the request of N. Reserve Playground Committee Chairman Roeder and with the approval of President Comanita, the Secretary emailed the active Trustees on December 20, 2005 with the Committee report as quoted below and requested a vote prior to January 1, 2006 to lock in the prices quoted prior to an increase scheduled for the first of the coming year:

CWCA North Reserve Playground Committee Report

Fellow Trustees:

I knew we were all anxious to complete the playground project. So I arranged to have a meeting with members of the committee. We met at Don’s place on Oct. 28th at 7:00 p.m.

Our discussion included type, and cost of swing sets and BQ pits. Below you will see a breakdown of each item and cost. These prices are only good until the first of the year 2006 then they will jump another 15%. I would like all of the trustees to look at this information and let me know by E- MAIL if what you see is satisfactory so we can get the material and instructions and be ready to install come spring.

8 FT Bay for 2 swings (these are tri-pods) cost— $585.00 This would be for the younger kids
10 FT Bay for 2 swings (these are tri-pods) cost -- $621.00 This would be for the older kids
2 Full bucket seats w / coated chains cost— $188.00 This would be for the younger kids
2 Belt seats w/ coated chains cost— $102.00 This would be for the older kids
2 pedestal rotary Grills cost--- $426.00
Total cost— $1,922.00 plus tax and shipping
