Evans Ranch Homeowners Association Report
The 2012 Annual Meeting of the Evans Ranch homeowners Association was held on Sunday, October 21, 2012 at the Encino Park Community Center from 2 PM until 4 PM. In order for the Association to meet in that annual session, a Quorum must be present. There are 151 homes in the Evans Ranch subdivision. A Quorum is defined as 16 members in attendance or represented by proxy. The meeting was not able to be called to order until 2:45 PM because of lack of a Quorum. The meeting was called to order at that time. During the meeting the open board position was filled. Mr. Brian Kolodziej was elected to fill that position. He will serve a three (3) year term which will end at the ERHOA Annual meeting in October 2015. Board members are eligible for re-election and there in no defined limit on the number of terms that a person may serve.
Because of the attendance issues that surfaced this year, the Board at a meeting on Tuesday, November 20, 2012 has recommended that the day of the week for the Annual Meeting and the time of the meeting be changed. The meeting is now recommended for Saturday, October 26, 2013 from 3 PM until 5 PM. Once the time and site are finalized, the Association members will be notified and reminded on a monthly basis. Also, since there is one member who will have served two (2) 3-year terms on the Board who will stepping down, There will be one (1) Board position to be filled at that time. The Nominating Committee will remain active throughout this coming year.
The Board of the Association is required to meet following the Annual Meeting and elect its officers. That meeting was held Tuesday November 20, 2012. There were three (3) agenda items.

Board meetings are open to all Evans Ranch homeowners. It is requested that if persons other that Board members and Committee Chairpersons plan to attend, they notify the Board President in advance in case a larger meeting facility would be necessary.

Each of our Committees is in need of members. As noted above, our Finance Committee is in need of both members and of a Chairperson. For the past year, David Schafer has served both as Treasurer and acting Finance Committee Chairperson. This position is especially important this year because one of the Board priorities is that of establishing both our Reserve Fund needs and the process through which we will accumulate those funds.
Our Long Range Planning Committee is in the process of surveying Evans Ranch to determine our Repair needs and our Replacement needs. We will also be contracting with a firm to do a Reserve study. Evans Ranch is now 12 years of age. Our streets will soon need major work. We have painting and fence repair that is required. There are areas where major brush removal may be required. All these items will require an expenditure of ERHOA funds. The Reserve Study will give us information on “how much” we will need and “how soon” we will need those additional funds. An increase in yearly assessment will probably be required. It is imperative, therefore, that as many of us as possible are involved in the development and planning of these processes. If you have not done so already, please consider volunteering for committee leadership and committee membership. Please call any of the Board members to express an interest or call the Committee Chairperson(s) directly.
A special “Thanks You” is sent to our Communications Co-Chairperson, Lynn Wilson. We all are quite appreciative of her role in keeping us informed of all that is occurring. Her communications are clear, accurate and timely and we are quite fortunate to have her as a part of our community.
Equally deserving of note is Officer Jason Gardner who is our longest serving Security person and who was instrumental in securing the services of Officer George Sexton. Officer Gardner has been both attentive and vigilant. He has served our community well, and all indications are that Officer Sexton will be equally efficient.
