Annual Meeting Minutes
September 19, 2005

President C. Sidebottom called the meeting to order at 7:35pm.
Board Attendance: President & Treasurer ?– C. Sidebottom, Zone 1 ?– G. Byrd, Zone 2 ?– D. Tschoepe, Zone 3 ?– S. Tischendorf (VP), Zone 4 - P. Purkey, Zone 5 - R. ?“Notice to all: Please CLEANUP after your dog(s) as you walk them through the neighborhood!?”

Attendance: 17 members present + 17 proxies = 34, therefore a quorum is present (10%)

Treasurer?’s Report ?– Presented by C. Sidebottom
?• See attached dues delinquency report. As of 8/31/05 dues outstanding = $18,300.
?• Totals for Year Ending August 31, 2005: Revenues = $33,655; Expenses = $24,907; Account Balance is $94,598.
?• 2005/2006 Budget presented to be same as 2004/2005. Motion made to accept the proposed budget, seconded and vote was taken and approved.

Annual Meeting Business
?• Annual Yard Sale was discussed. Management of Yard Sale was sent to Committee. Committee Chair is Anne Ray (Zone 5). The establishment of a date for the yard sale will be discussed at first 2006 meeting. Anyone interested in helping on the Yard Sale Committee, contact Ms. Ray @ 239-5306.
?• Street Paving was discussed. Prep work has begun.
?• Garbage Service: Industrial Disposal (ID) rate is $10.95/mo. 1 year. Participation to be reviewed at end of 1st year for continuation of rate. We need 80% to continue rate for 2nd year. If you are interested, call ID and tell them you live in FARMGATE, and you want the special rate. You must call, even if you already have ID.
?• Mailbox Project: Order status was discussed. It was decided that the deadline would be extended. Flyers will be distributed to those not ordering, that are current on dues. Also, a letter must be drafted and sent to US postal service to notify them that we are planning to relocate mailboxes along Old Boundary and Cabin Hill Road.
?• Complaints were received on the following subjects: (1) 8307 Huntsman Trail ?– car parked on street is causing problems due to the extra maneuvering space needed to avoid the construction covers in that area. (2) 8201 Huntsman Trail - Christmas lights still not taken down. (3) 8004 Huntsman Trail is operating a business from their residence; the owner is requested to stop. If problem persists, zoning & permitting will be called. (4)
?• Zone Director Elections (Odd numbers zones are up for election) The following people were nominated, accepted nomination, were seconded and voted in by their zone members present.
 Zone 1 ?– Gene Byrd
 Zone 3 ?– Suzanne Tischendorf
 Zone 5 ?– Rose House
 Zone 7 ?– Gary Smith
 Zone 9 ?– Vacant (If you are interested in servicing at this zone director, call C. Sidebottom)
 Zone 11 ?– Don Ray

Motion made at 8:50pm to adjourn Annual Meeting, Seconded and Passed.

Completion of Old Business by 2004/2005 Board
?• Farmgate Website: C. Sidebottom to review status, and investigate hiring service to complete the project.
?• Deed Restricted Community Signs: Front entrance sign is installed. C. Sidebottom & R. House to discuss location of rear entrance sign over weekend 9/24-9/25. G. Byrd is to arrange installation.
?• Rear Entrance Signs: Complete. They look great. The Board would like to thank Mr. Jim Walker (of zone 4) & associate Mr. Dave Ballinger, for terrific job. Your efforts are greatly appreciated.
?• Mailbox Project: Mailboxes orders being finalized and order will be placed in early October.
?• Garbage Service: Call ID @ 638-9000 to get our Farmgate special rate of $10.95/month.
?• Annual Yard Sale: We will be hosting a yard sale in 2006. Watch minutes for details.

Election of Board Officers
?• The following were Nominated, Accepted Nomination, Seconded, and a majority vote was received for their installation into the following offices:
 President ?– C. Sidebottom
 Treasurer ?– C. Sidebottom
 Vice President ?– Suzanne Tischendorf
 Secretary ?– Anne Ray


Clerical Fees
?• Clerical Fees paid to the Treasurer & Secretary were discussed. It was the general consensus that these fees were outdated and needed to be increased. This is a subject that must be presented before the membership at an annual or special meeting. It was decided that the next normally scheduled meeting would be changed to be a Special Meeting. Please make a note of this and plan to attend.

Vacant Director Positions:
?• Zone 6 and Zone 9 are now without representation. If you live in one of the zones, please consider volunteering to represent your zone. It is very important that the Board gets input from as many members as possible. This can only be accomplished if there is a director for each zone. Remember that Zone Directors are exempt from annual dues as recognition for their services to the sub-division.

?• KEEP YOUR DOG ON A LEASH AND RESPECT OTHERS PROPERTY BY CLEANING UP.
?• IF YOU NOTICE A STREET LIGHT PROBLEM, CALL LG&E @ 589-3500.
?• U.S. Mail delivery problems should be communicated to Connie @ 239-0110.
