BOARD MEETING MINUTES

The meeting was called to order at 7:05 p.m. by President Malinda Hardcastle. Members of the Architectural Control Committee were present to follow-up on agenda items from the previous Board meeting.
The owner of Lot 1 has not yet completed work on repair of the irrigation system and the brick wall. Currently, the irrigation is being operated manually to preserve the landscaping at the neighborhood entrance. Steve Lane will call the builder again. The ACC has obtained copies of landscape plans for the new bed to be planted at the west side of the entrance after all repair work is completed.
Brian Robb reported to the Board (prior to the meeting) that he has contacted the City of North Richland Hills regarding the option of placing street signs on our existing gas lamps, including a new entry sign for the neighborhood. TXU must approve the hanging of such signs. As another option, the city will replace our steel posts with black ones at no cost. He will follow-up with the city on this option. Theresa Madsen will try to contact her builder, a resident of
Grayson Villas, for information about their entry sign.
The mineral rights lease for Lot 14 was signed by Malinda Hardcastle following the last Board meeting. Treasurer Len Willis reported that the signing bonus check for the amount of $6786.00 was deposited on July 21, 2008. The ACC will contact Alexander?’s Landscaping to replace one of the newly planted trees on Lot 14 which has died.
The new ACC members have received keys to the irrigation control panel on Lot 14, as well as copies of the contract and maintenance schedules from Landscape Partners for both common areas. Theresa Madsen reported an additional fee of $125 last week for pest control due to repeated damage to the front bed by armadillos. Michelle Cline will contact Landscape Partners soon to discuss the planting of fall color at the front entrance.
The Association Bylaws will be amended to reflect the change of registered office/registered agent to the new President. Len Willis and Ann Rudeen will work on preparing this document. Brian Robb is consulting with an attorney acquaintance regarding the feasibility of adding landscaping to our front entrance, given the restrictions placed by our Bylaws and Declaration of Restrictions, Covenants and Conditions.
Krista Robb will be joined by Renee Lane and Brooks Marshall on the Grace Meadows Social Committee. The committee is planning our first block party for Saturday, September 20, 2008. Residents will be receiving invitations shortly. The committee is also planning National Neighborhood Night Out and Halloween trick-or-treating in October, and a neighborhood garage sale in November.
Brian Robb and Freddie Sandifer have volunteered to serve on the Rules and Regulations Committee. Additional volunteers are welcome.
Theresa Madsen reported the approval by the ACC of a patio improvement request by the Robbs, 7725 Grace Drive.
The next meeting of the HOA Board will be held Wednesday, September 17, at the home of Steve Lane. The meeting was adjourned at 8:20 p.m. by President Malinda Hardcastle.
