BOARD MEETING MINUTES
SEPTEMBER 17, 2008

The meeting was called to order at 7:10 p.m. by President Malinda Hardcastle. Members of the Architectural Control Committee and Social Committee were present to follow-up on agenda items from the previous Board meeting.
The owner of Lot 1 has completed repair work on the west portion of the brick screening wall, including patching the existing hole. Theresa Madsen reported that an electrician will be completing repair work to two sprinkler heads which are not working within the week. Michelle Cline is meeting with a representative from Landscape Partners on Friday, September 19, to discuss fall color in the front entrance beds. Theresa Madsen will check with M&J Custom Homes (owner of Lot 1) to inquire about finishing construction of the flower bed at the west entrance. Ann Rudeen is working with a vendor to manufacture a sheet aluminum neighborhood sign, similar to the one at the entrance of Grayson Villas, which will attach to the streetlamp. Although the original GRACE MEADOWS concrete sign was repositioned into the brick wall, it is not visible to visitors coming from the east on Kirk Rd., and may be partially obstructed by landscaping once the planter bed is finished.
Treasurer Len Willis reported that funds have not yet been released into the HOA account from the signing of the mineral rights lease to Lot 14. The dead tree on the lot planted by Alexander?’s will be replaced this fall; also, Theresa Madsen reported that the Gills will replace a tree adjacent to their property line which has died. Fertilizer was applied by Landscape Partners to both entrance beds and Lot 14 in early August. MSMA (granular weed control) was applied to both beds and Lot 14 in early September. Lot 14 will be retreated with hydromulch, if necessary, in spring 2009 prior to the end of the year warranty.
Len Willis presented the document required to change Registered Agent of the HOA to the new President. The document was signed by Malinda Hardcastle, and will be recorded at the Texas Secretary of State office.
Krista Robb reported that the necessary permits have been obtained for the HOA block party September 20, 2008. Final details were discussed. Upcoming events include: National Neighborhood Night Out on October 7, 2008, and a neighborhood Halloween party for all ages at the Marshall?’s on October 31, 2008.
Brian Robb is consulting with an attorney regarding the feasibility of adding landscaping to our front entrance, given the restrictions placed by our Bylaws and Declaration of Restrictions, Covenants and Conditions.
Ann Rudeen will send an e-mail to all residents when the latest minutes are posted on the HOA website.
The next Board meeting will be held on Tuesday, October 14, 2008 at the Lane?’s. The meeting was adjourned at 8:40 p.m. by President Malinda Hardcastle.
