Sherwood Forest Neighborhood Association Bylaws
Article I: Name
The name of the organization shall be Sherwood Forest Neighborhood Association. Our logo has yet to be determined.
Article II: Objective/Mission
The Sherwood Forest Neighborhood Association (SFNA) shall function as a social organization for the purpose of promoting community involvement/outreach, crime prevention, neighborhood beauty, and communication between neighbors/fellow organizations and shall hold monthly business meetings in order to facilitate the promotion of but not limited to the above- mentioned items.
Article III: Membership
Section 1: Eligibility
(a) Membership in the SFNA shall be open to home owners or renters in the SFNA area, their spouses, dependents and/or sponsors.
Section 2: Dues
(a) The dues structure is as follows:
1. Individual under 55 years of age: $15.00 to be paid in full annually.
2. Individual over 55 years of age: $10.00 to be paid in full annually.
3. Household (Oldest member under 55 years of age): $25.00 per year to be paid in full annually.
4. Household (Oldest member over 55 years of age): $15.00 per year to be paid in full annually.
(b) Annual Renewal date shall be on the 1st of the month one year from the member(s) original sign-up date.
(c) In the event of a member/attendee behaving in a violent/disorderly/verbally abusive manner, the membership reserves the right to hold an impromptu vote to remove said member/attendee from meeting/premises, as allowable by local law/ordinance. Any/all membership and/or membership dues paid by the offending member/attendee shall be forfeited.
Article IV: Officers
Section 1:
The officers of the SFNA shall consist of a President, Vice President, Secretary and Treasurer. These officers shall constitute the governing body of the organization and shall be known as the Executive Board.
Section 2:
All non executive board members may attend meetings of the Executive Board, but are not eligible to vote on board matters.
Section 3:
Term of office shall be one year.
Section 4: Duties/Responsibilities of Officers?—
These duties may be delegated to the appropriate committee heads, as necessary.
a) President
1. Shall preside at all meetings and be in charge of all business conducted by this organization.
2. Shall approve all Committees.
3. Shall appoint a replacement for any officers, co-chairman, for the remainder of the term of office should that position become vacant.
b) The Vice President
1. Shall, in the absence of the President, preside at meetings and
perform other necessary duties.
2. Shall be responsible for coordinating all activities.
3. Shall automatically succeed to the office of President for the balance of the year, should that office become vacant.
c)The Secretary
4. Shall record minutes of all General/Board Meetings.
5. Shall keep in the permanent file the records and the results of all activities as they are turned over by the Vice President.
6. Shall be the custodian of all records pertaining to the association
7. Shall purchase supplies as required.
8. Shall be responsible for obtaining the following information from new members: name, address, telephone number and email address.
9. Shall, at the beginning of each meeting, provide the President, Vice President, Treasurer and appropriate committees with a complete membership list, including addresses and telephone numbers. As new members join the organization, their names, etc., shall be added to this list and these board members informed.
d)The Treasurer
1. Shall be custodian of all funds of the organization and shall keep a record of all business transactions.
2. Shall collect all dues, manage and disburse assets, and shall pay all bills of the organization.
3. Shall seek out fund raising endeavors.
4. All checks issued by the Treasurer shall be co-signed by the President or Vice President.
5. Shall be aware of all tax laws pertaining to the organization.
Article V: Meetings
Section 1:
There shall be monthly membership meetings. The meetings will occur at least monthly at 7:00 p.m. (unless, a temporary change has been agreed upon by the members for a special occasion).
Section 2:
a) Elections
1. Election of officers shall be held at the Annual Meeting in February of each year.
2. The officers will assume office on March 1st.
3. The officers shall be elected by a majority vote of the membership in good standing who are present at the Annual Election Meeting.
Article VI: Fiscal Policy
Section 1:
The fiscal year shall be from January 1 to December 31.
Section 2:
Any expenditure over $150.00 dollars ($150.00) requires a vote of the General Membership.
Article VII: Committees
Other committees may be formed and/or removed as deemed necessary by the executive board.
Section 1.
Duties/Responsibilities
1. Membership: Solicit and create new membership and maintain roll of active constituents. Establish, through popular vote, association dues structure(s).
2. Outreach: Identify and interact with individuals, immediate neighborhood and government agencies (i.e., state/local/federal charitable and public interest agencies), awarding and following up on ?“Outstanding Yard?” recipients, Coordinate special events
3. Communications: Link all interval ?“chair personnel?” to each other. Advise membership of upcoming monthly meetings, special meetings, and special events within the association and/or community. Advise association members through web media of inter-association events, news, announcements, and relevant issues as pertains to our association, municipality, state, and country.
4. Code Enforcement: Coordinate with code enforcement agency to monitor immediate association area property and/or infrastructure.
5. Crime: Coordinate with membership and law enforcement to monitor our association boundaries with respect to any suspected or actual legal activity(s).
These bylaws are governed by Robert?’s Rules of Order, wherever possible.
