The meeting was called to order at 6:35 pm. Board Members present were Valerie Stupar, Jessica Felker, April Anderson, Joyce Smith and Ann Pasco. Also present was Lisa Horanburg with Tillett Property Management.
Management Report
The Board reviewed and approved the work order summary. Management reported that the east gate needed a new loop detector. The cost will be $250-$300 to replace the loop. This cost includes cutting and repairing the asphalt.
Management gave the cost for a roll off dumpster. There is a delivery charge of $50. Each time the dumpster is emptied will be $295. The Board agreed to schedule the dumpster from December 20th through January 10th. Residents will be asked to use the recycling facilities for their Christmas trees.
Management reported that Villas at Royal Palms has a 15 year contract with Cable America. Having another provider come in would cost the Association $6,000 to break the contract. Management was asked to send a letter to Unit #205. He is to request permission in writing to install a satellite dish. The Board will need to know the exact placement of the dish. Management will also send a copy of the FCC Regulation on satellite dishes. Ann asked for a copy of the FCC Regulation too.
The concrete spotting near buildings 3 unit has not been addressed yet by Rob. Management explained that this area will get cleaned up when the entire parking area is seal coated in a year or so. The Board unanimously agreed to remove Rob from any liability on this issue.
Unit # 214?’s unit was damaged when a vehicle ran into the building. Management reported that the driver?’s insurance company has issued funds for the repairs. The repairs will be scheduled in the next week.
Ann suggested that the Board provide some more positive information in the newsletter. Ann will send her suggestions to Management and they will be put in the newsletter format. The Board will review the newsletter before it gets mailed out to the owners.
Homeowners Concerns
There have been a few concerns with the gravel that gets on the asphalt. The landscapers do clean up the large amounts.
It was reported that the palm tree inside the pool area needs to be trimmed up. Management will issue a work order to have this done.
The spa cover is torn. Management is looking into the warranty on the cover.
There is a tree by building 5 that needs to be trimmed. Management will issue a work order.
Management was asked to send a letter to the unit by the pool that has a very loud air conditioning unit.
April reported that she is now the official web master for the website. She is now able to make any changes or additions to the website.
The minutes of the previous meeting were approved as presented.
The financial statements were approved as presented.
Old Business
Management reported that the Board could see an increase in the gas bill of $200 - $250 for each month the pool is heated. This number is based on previous spending for the spa. It may vary depending on the weather. The Board agreed to have a budget meeting in June to evaluate the budget to see if any of the spending has changed. The Board thought if they heated the pool as a courtesy in October and ask for homeowner response, they would be able to determine if the fees should be increased in 2004 to cover the cost of heating the pool in May and October.
New Business
The Neighborhood Watch meeting is scheduled for May 8th at 7pm. April has received donations of soda and ice. Several Board Member volunteered use of their coolers. Valerie will help April in putting together some door prizes.
With there being no further business, the meeting adjourned at 7:30 pm. Management was asked to contact the Board near the end of May to set up a meeting after June 11th. The next meeting will be held at Unit #223
